MASFAA LOCAL ARRANGEMENTS SUB-COMMITTEE CHAIR MEETING

Teleconference

Present:

Michelle Ahrendt, Diane Borchardt, LuGail Hamel, Nichole Lien, Doug Minter, Jarod Paulson, Brad Riebel, Carol Swenson and Ken Wallace.

 

Absent:

Cappy Breuer, Lois Larson, Nate Rosckes, and Rick Shipman.

Theme / Logo Update

Nichole reported that the “Time To Refocus” theme and logo were submitted to the current Local Arrangements Committee and they have added it to their Cincinnati Program.

Evening Entertainment Update

Brad and Jarod provided updates on several Tuesday Evening Entertainment options:

Nicollet Island Pavilion: This is a beautiful location on the river with a view of the skyline. This is also close to St. Anthony Main. The Pavilion seats 600 and is approximately 2 miles from the Marriott.

MN Zoo: This location could work however we would need to use two rooms (The “Tropics” and the “Wild”). The two rooms are connected by a hallway. If we had a sit down dinner, we would have to use both of the rooms to accommodate our numbers.

Science Museum: This location is not large enough.

Mill City: This location is not large enough.

Guthrie Theater: This location is not large enough.

IDS Building: This location will hold 300 people so it may not be large enough depending on how many people attended the evening event.

Solaro Dinner Room: This location will hold 300 people on the 2nd floor, which is the reception/patio area and 300 people on the 3rd floor, which is the room that would hold the sit-down meal.  So, depending on what type of meal (sit-down / walk-in buffet) would make a difference in how many people we could host at one time.

River Cruise: The cruise would hold 700 people. It costs $600 an hour plus catering (extra for DJ / Band). Taking a river cruise would include weather risks and we would be committed to a tight time schedule.

Walker Art Center: The reception area is in the Skyline Room. The Art Center would allow people to roam around the center before and after dinner. This location holds 450 people and is approximately 2 miles away from the Marriott.

Mall of America: The Mall of America is still an option for us. We do have concerns that the shopping mall and Nickelodeon Park close at 9:30 p.m.  Underwater World closes at 8 p.m.  So, if we held a sit down dinner, there would be limited time for guests to roam the Mall.  However, we could hold a buffet and guests could come through and eat and then spend the remainder of the evening at the Mall.

International Market Square:  This location is similar to the Solaro room where we could host a dinner/reception, however there would be nothing to do or look at afterwards.

Marriott Depot: This location is between Nicollet Island and the Marriott Hotel. This location is on the river.

Marriott Hotel:  We could stay at the Marriott hotel and host a dinner there with or without evening entertainment.

 

After a lengthy discussion the committee narrowed the options down to five choices. We will be given our committee’s budget in October so we will know more in a month at what we are able to work with. In the meantime, Brad will obtain more information on our five remaining choices and obtain prices, down payment information, contract information, date availability, busing options and cost, and catering costs.

 

Remaining five options:

  1. Nicollet Island Pavilion
  2. Walker Art Center (Jarod volunteered to obtain this information)
  3. Marriott Depot
  4. Staying at the Marriott Hotel (with or without entertainment)
  5. Mall of America

 

(Brad will look into busing for all of these options)

Cincinnati Promo

Brad and Nichole viewed the two Mall of America videos and the “Meet Minneapolis” video and both agreed that the “Meet Minneapolis” video was a perfect video to show in Cincinnati.  Both Brad and Nichole will be bringing a copy of the DVD to Cincinnati.  The committee also viewed the sticker and brochure that the “Meet Minneapolis” group sent us and decided that we would hand these out to the Cincinnati guests along with the previously viewed “Fun Minnesota” brochure that Brad had obtained.

Brad will bring the “Fun Minnesota” brochures and Nichole will obtain the “Meet Minneapolis” stickers and brochures. All committee members who will be attending Cincinnati will help hand out the stickers and brochures while the DVD is playing.  Nichole and Cappy will introduce the video.  The committee decided that we will not need a table set up to advertise our Minneapolis conference.

Other: Volunteer Forms

We have received a few Volunteer Forms. Michelle has contacted Tracy-Stokes-Hernandy regarding being on her committee. Doug volunteered to contact Mickie Waterman. Nate has contacted Mike Mutzinger and Ken has contacted John Pogue. We will begin copying all of our members on our emails that contain our Committee Chair Minutes so everyone can keep updated on the progress that is being done each month.
